# The directory submission checklist: prepare once, submit to 25 directories in two hours

> Every directory form asks for the same twelve things in a different order. Prepare them once, in the sizes that fit everywhere, and the sprint becomes copy-paste. Includes the order that pays back fastest and the mistakes that get listings rejected.

Directory submissions are slow for one reason: you open each form cold, hunt for a logo in the right size, rewrite the description to fit a character limit you did not know about, and lose momentum after the fourth site. The fix is to prepare one canonical kit, in the sizes that satisfy every form we have seen, and then do nothing but paste.

This is the kit, the order, and the failure modes. The [directory-submission-sprint playbook](/playbooks/directory-submission-sprint) walks the same thing step by step.

## The kit (prepare once)

Keep it in one note. Every field below is what the strictest common form allows, so it fits everywhere.

| Field | Size | Notes |
|---|---|---|
| Product name | as on your site | Same spelling everywhere; assistants and search engines merge entities by exact name |
| One-line tagline | ≤ 60 chars | What it does, for whom. No adjectives. |
| Short description | ≤ 300 chars | Tagline + who uses it + the one thing it does differently |
| Long description | ≤ 1,000 chars | Problem, product, three features, pricing sentence, founder line |
| Homepage URL | with UTM | `?utm_source=directoryname&utm_medium=listing` — build it once with the [UTM builder](/tools/utm-builder) |
| Logo | 512×512 PNG, square, transparent, plus a 512×512 with white background | Half of directories reject non-square; some reject transparency |
| Screenshots | 3 × 1920×1080 PNG or JPG | First one must make sense at thumbnail size |
| Category | your primary [ExitFounder category](/categories) | Pick the same one everywhere; directories map onto similar taxonomies |
| Pricing | one sentence + model (free / freemium / paid / one-time) | "Free plan, Pro from $19/month" |
| Founder | name, X handle, LinkedIn | Many launch platforms attach the listing to a maker profile |
| Launch date | ISO date | Some directories sort new listings by it |
| Alternatives | 2–3 established brands you replace | Powers "alternative to" pages — on ours too |

Two things people forget: a **plain-text version of the descriptions** (rich-text pastes carry hidden characters that some forms reject — check with the [hidden character detector](/tools/ai-watermark-detector)) and a **dedicated email** for directory accounts so the confirmation emails and later "your listing was approved" notices land in one place.

## The order

1. **Instant-publish, free, dofollow, DR ≥ 50.** Links today. Ten to fifteen sites.
2. **Review sites** (G2, Capterra, Trustpilot for consumer). Nofollow, but reviews compound and the profile takes days to approve, so start now.
3. **Vertical directories** for your niche (AI tools, developer tools, no-code). Lower DR, higher intent.
4. **Alternatives sites** (AlternativeTo, SaaSHub). They index by the brands you replace; fill in the alternatives field carefully.
5. **Launch platforms** last, and one at a time. Product Hunt, Fazier, Uneed and our [weekly board](/launches) each deserve a day of attention.

Filter the catalogue in that order with the [directory finder](/tools/startup-directory-finder).

## What gets listings rejected

- **Waitlist pages with no product description.** Most directories accept pre-launch products but not empty pages. Say what the product will do.
- **Logo not square, or with text baked in.** Provide the clean mark.
- **Descriptions that are about the competition.** "Better than X" is edited or rejected; "alternative to X" is a field, use it.
- **Different names on different sites.** "Acme", "Acme App" and "acme.io" become three entities. Pick one.
- **Affiliate or tracking URLs as the homepage.** UTM parameters are fine; redirect chains and shorteners are not.
- **Submitting the same product twice** because you forgot the first one. Keep the spreadsheet.

## The spreadsheet

Five columns: directory, date submitted, status (submitted / live / rejected), listing URL, link type as verified. Update it when the approval email arrives, and two weeks later open every "live" listing and confirm the link with view-source. The Domain Rating on your [profile](/startups) is refreshed regularly; expect referring domains to show up over weeks, not days.

## Paid fast tracks

A rule of thumb that has held up: a fast track under $30 on a directory with DR above 70 is worth it if you would otherwise wait more than a month. Above $50, or on a directory below DR 60, wait for the free queue. Never pay for a listing whose only benefit is "featured for 24 hours" unless the site is where your users already are.
